Get the most out of your FCA: The 5-step guide for education facilities teams

Facilities condition assessments (FCAs) are some of the most tedious work that education facilities teams do.

You may be inspecting hundreds or thousands of individual assets across multiple buildings. To get complete information, you are obtaining records from school administrators, tracking missing resource information, and reconciling what has changed since the last assessment.

These details are often buried in PDFs, emails, paper files and maintenance logs, and are rarely in a reusable format.

Wash and repeat, every few years.

According to industry research, owner-operators can spend 2-4% of the total project cost manually correcting and entering operations and maintenance (O&M) information into their systems after delivery. On an $80 million capital project, it could be $1.6 to $3.2 million in delivery costs and preparation for operations.

There’s a better way to approach FCAs for education: by connecting FCA data to assets, locations and documentation, everything from day-to-day maintenance decisions to long-term capital planning and projects can be supported.

1. Get more long-term value from FCA’s unique reports

Static reports document conditions at a single point in time.

Asset records make this information usable over time.

Roofs, HVAC systems, electrical infrastructure, elevators, finishes, windows, and life safety components all have their own installation instructions, repair records, and replacement timelines.

The asset-centric structure also makes FCA findings easier to use in maintenance planning, renewal scheduling, financing and future projects.

With project management focused on assets ® (ACPM), teams capture asset information created during project design, construction, and delivery.

This means that accurate and structured asset information, including warranties, maintenance manuals, photos and more, is at your FCA team’s fingertips, saving time and giving a better picture of asset condition over time.

ACPM gives O&M teams a more robust approach to day-to-day work, future planning and the next FCA cycle.

Kahua supports FCAs by letting departments connect project and facility information to the asset record, not just the closing package or final report.

See why the case for school funding starts with a smarter facility condition assessment.

2. Capture asset information during projects and delivery

The project may be closed, but O&M teams still need actionable asset data once the doors open.

If the delivery information is incomplete, school systems pay for the same information twice: once during the project and again when facilities crews have to rebuild it later.

New builds, renovations and upgrades generate accurate real-time asset information: what was installed, when and where. In addition to the accompanying documentation. This is when information such as warranties, serial numbers, locations and O&M materials are easier to verify.

For example, when warranty details are missing, a school may spend thousands to replace equipment still under warranty, simply because no one could easily verify coverage.

The move should support long-term use, not just the end of the contract.

3. Use FCA cycles to refresh data, not start from scratch

With asset data in hand, appraisal teams spend less time rebuilding core records and more time validating conditions, updating asset information and identifying what has changed since the last FCA.

Facility leaders need up-to-date information to compare urgency, risk, cost and impact across the portfolio.

Kahua helps teams connect FCA data with project activity and operational records, so each assessment cycle contributes to a stronger baseline.

4. Incorporate FCA results into planning and prioritization

Educational leaders are often asked to justify priorities and spend. These decisions are difficult to defend if FCA teams do not have easy access to reliable information.

When data is organized in a usable way, it can be referenced for capital planning, renovation scheduling, project sequencing, and stakeholder communication. This helps finance teams, executives, boards and communities to understand immediate needs and long-term impact.

Kahua aggregates this information, so asset status information isn’t locked inside a static report.

5. Maintain usable facility data between evaluation cycles

When asset records are outside of project delivery and day-to-day operations, it’s easy to lose track of details.

This is where Kahua’s FCA app can help.

The FCA app provides access to complete and accurate data and asset conditions collected during original installation as well as from previous appraisals.

This means your teams can use real-time asset information in the field as actual assessments occur.

Facility health assessments will always be tedious, but if you have useful information to work with, they become much less painful.

For education facilities teams, this means treating FCA as part of the asset lifecycle.

Kahua helps education owners connect condition assessments, capital project delivery, and comprehensive data delivery to support day-to-day operations over the lifetime of the facility.
