One of the things we tend to find when working with different clients from different industries and organizations is that this area gets complicated very quickly.

This is the area where I would recommend taking your time, moving slowly, and being really intentional about defining different dimensions, account numbers, departments, and if you’re in the nonprofit space, funds. Not to over complicate things, but to make sure that we provide clear and consistent data and that we can track that month to month and as we build reports. Everything is based on this.

Start with clean data and a usable chart of accounts

Many reporting challenges often stem from one problem: data structure. Many organizations are trying to solve the reporting gaps with more detail: more accounts, more categories, more tracking. This often creates complexity without improving clarity.

Instead, focus on:

  • Logical design of account charts so results are easy to read and compare over time
  • Consistent transaction coding across teams
  • Precision at the input to reduce downstream corrections
  • Simplicity over volume: More accounts don’t mean better insight

A well-designed structure becomes the architecture for everything that follows, from reporting to forecasting.

Create a repeatable monthly close you can rely on

If your closing process changes every month, so will your results. A repeatable closure creates stability. It helps you produce consistent financial results, reduce variability and build trust with stakeholders.

Key practices include:

  • Documented workflows and checklists
  • Clear ownership of tasks
  • Consistent timeline to close and review
  • Regular process updates as the business evolves

Use key metrics to turn reports into a vision of the future

Financial data is inherently historical, but its value comes from how quickly it reports action.

When delays of 30, 60 or 90 days are reported, it becomes less relevant. Shorter closing cycles and faster reporting help tighten the feedback loop, so leaders can adjust in real time.

To make the reports more useful:

  • Tailor reports to audience (operators vs. executives vs. boards)

“Profit” is not cash and treating it as interchangeable can derail growth. It may show great returns on paper while still facing cash constraints due to:

  • Term of payments and debtors
  • Inventory or capital investments
  • Debt service or financing structure

Clear visibility into profits and cash flow helps you:

  • Anticipate liquidity needs
  • Avoid surprises during growing periods
